At Novara Functional Health, we value your time and the time of our practitioners. The following policies are in place to ensure fairness, consistency, and the highest standard of care for all clients.

By booking an appointment, you acknowledge and agree to the policies outlined below.

1. Appointments & Deposits

Initial Appointments

All new clients are required to provide credit card details to secure an initial appointment. A deposit equivalent to the initial consultation fee is required.

  • The deposit will be applied to your appointment fee

  • The deposit will be forfeited for cancellations made within the notice period or for missed appointments

2. Appointment Reminders

We provide SMS and email reminders as a courtesy:

  • 72 hours (3 days) prior to your appointment

These reminders do not replace your responsibility to attend or manage your booking.

For telehealth consultations, Zoom links are included in your email reminder. If you cannot locate your link, please contact the clinic at least 24 hours prior to your appointment.

3. Cancellation & Rescheduling Policy

Minimum Notice Period

A minimum of 48 business hours’ notice is required to cancel or reschedule an appointment.

Business hours are:

  • Monday to Friday: 9:00am – 5:00pm

  • Saturday: 9:00am – 1:00pm

Cancellation Fees

  • Cancellations or rescheduling within 48 business hours will incur a fee of 100% of the consultation fee

  • Missed appointments or no-shows will be charged in full

This policy applies to all appointment types, including telehealth/phone

4. Late Arrivals

  • Please arrive 10 minutes prior to your appointment time

  • A 10-minute grace period is permitted

  • Late arrival will result in a reduced consultation time, with the full fee still applying

  • Arriving more than 10 minutes late may be considered a no-show

5. Rescheduling & Contact

All appointment changes must be made via email or phone

If you are unable to attend in person, your appointment may be transferred to a phone or Online/Zoom consultation, subject to availability.

6. Waitlists

Due to high demand, missed appointments may result in longer wait times for future bookings. Providing adequate notice allows us to offer appointments to other clients.

7. Age Policy

  • Clients must be 18 years or older

  • Clients aged 16–18 may attend with written parental or guardian consent

  • Clients under 16 must be accompanied by a parent or guardian

8. Fees & Payments

Accepted payment methods:

  • Credit card (Visa & Mastercard)

  • Cash

Full payment is required on the day of consultation.

Rebates

  • Naturopathy consultations are not claimable through private health funds

9. Supplements & Products – No Refund Policy

Due to safety, quality control, and storage requirements:

All supplements and products purchased from Novara Functional Health are non-refundable.

Once products leave our premises, we cannot guarantee appropriate storage conditions or product integrity. This policy applies regardless of whether the product has been opened.

If you have concerns about a supplement prior to purchase, please discuss these with your practitioner.

10. Testing & Functional Pathology

  • Tests ordered by naturopaths are not eligible for Medicare rebates

  • All testing is billed privately by the laboratory

  • Functional and integrative testing may incur additional out-of-pocket costs

These tests are used to provide a more comprehensive and personalised assessment where clinically appropriate.

11. Clinic Etiquette

To maintain a calm and professional environment:

  • Please keep noise to a minimum in waiting areas

  • Phone calls should be taken outside where possible

12. Children in Clinic

Children are welcome at Novara Functional Health.

  • Parents or guardians are responsible for supervision at all times

  • We ask that children remain respectful of the clinic environment

13. Third-Party Attendance

If another person will attend your consultation, please notify the clinic in advance.

By booking an appointment and signing our consent to care documentation, you acknowledge that you have read, understood, and agreed to these policies.
